Connect Gmail for email outreach and conversation sync

The Gmail integration is the foundation of Stormy's email outreach and AI Inbox. By connecting your Gmail account, Stormy can send outreach emails on your behalf, sync replies back into the platform, and let the AI agent manage entire email conversations with creators -- all from your real email address.

What the Gmail integration enables

With Gmail connected, you can:

  • Send outreach emails through Stormy's email sequences, with messages delivered from your actual Gmail address
  • Sync conversations -- replies from creators are pulled into Stormy's AI Inbox automatically
  • AI-managed responses -- the AI agent can read incoming emails, draft responses, and send follow-ups based on the conversation context
  • Thread tracking -- every email thread related to your outreach is tracked with full history visible in Stormy

Without Gmail connected, Stormy's email-related features (sequences, AI Inbox, outreach) will not function.

Connecting Gmail

  1. Navigate to Settings > Integrations > Gmail
  2. Click Connect Gmail Account
  3. You will be redirected to Google's authorization page
  4. Sign in with the Gmail account you want to use for outreach
  5. Review and accept the requested permissions
  6. You are redirected back to Stormy with the connection active

Note

Stormy requests access to read and send emails in threads related to your outreach. It does not scan or access your entire inbox. The permissions are scoped to email sending and thread-level reading.

Which Gmail account to use

Use the email address you want creators to see when they receive your outreach. This should be a professional address that represents your brand or team -- for example, partnerships@yourcompany.com or yourname@yourcompany.com.

Tip

If you use Google Workspace (formerly G Suite), connect the team member's account who owns the creator relationships. Each workspace member in Stormy can connect their own Gmail account, so different team members can run sequences from their own email addresses.

How email sending works

When Stormy sends an outreach email (either through a sequence or initiated by the AI agent), it uses the Gmail API to send the message directly through your Gmail account. This means:

  • The email comes from your real address -- not a Stormy domain or proxy. Creators see your name and email.
  • The email appears in your Gmail Sent folder -- you have full visibility into what was sent.
  • Gmail's deliverability applies -- messages benefit from your domain's reputation and SPF/DKIM settings.
  • Gmail sending limits apply -- Google limits Gmail to 500 emails per day for personal accounts and 2,000 per day for Workspace accounts.
Warning

If you hit Gmail's daily sending limit, queued outreach emails will be delayed until the limit resets (24 hours). Plan your sequence volumes accordingly. For high-volume outreach, consider using a Google Workspace account with higher limits.

Conversation sync

Once an outreach email is sent, Stormy begins tracking the email thread. When the creator replies:

  1. Gmail receives the reply as normal
  2. Stormy detects the new message via sync (near real-time)
  3. The reply appears in Stormy's AI Inbox
  4. The AI categorizes the message (interested, not interested, question, negotiation, etc.)
  5. If the AI agent is enabled for this thread, it can draft or send a response

What gets synced

  • Outbound messages sent by Stormy through sequences or the AI agent
  • Inbound replies from creators to those threads
  • Thread metadata -- subject line, timestamps, participant email addresses

What does not get synced

  • Emails in threads not initiated by Stormy
  • Your personal inbox (unrelated conversations)
  • Drafts that were never sent
Note

Stormy treats drafts as unsent messages and does not sync them. Only messages that were actually delivered are tracked in the thread history.

Working with the AI Inbox

The AI Inbox is where synced conversations live inside Stormy. Each thread shows the full email history between you and the creator, with AI-generated labels indicating the conversation status.

Key AI Inbox features powered by the Gmail integration:

  • Smart categorization -- the AI reads each incoming message and assigns intent labels (e.g., "interested", "wants pricing", "scheduling call", "declined")
  • Suggested responses -- the AI drafts a response based on the conversation context and your campaign goals
  • One-click send -- approve the AI's draft and it sends through Gmail immediately
  • Auto-pilot mode -- for routine conversations, the AI can send responses without manual approval

Tip

Start with manual approval for AI responses. Once you are comfortable with the quality, enable auto-pilot for routine follow-ups and scheduling conversations. Keep manual approval on for negotiation and pricing discussions.

Email deliverability tips

Since Stormy sends through your Gmail account, your email's deliverability depends on your domain and sending practices:

Domain authentication

Make sure your domain has proper email authentication records:

  • SPF -- authorizes which servers can send email from your domain
  • DKIM -- cryptographically signs emails to prove they have not been tampered with
  • DMARC -- tells receiving servers what to do with emails that fail SPF or DKIM checks

If you use Google Workspace, Google handles most of this automatically. For custom domains, check with your domain provider.

Sending behavior

  • Warm up gradually -- do not connect a new email account and immediately send 500 outreach emails. Start with 10-20 per day and increase over a week.
  • Personalize messages -- generic templates get flagged as spam. Use Stormy's personalization tokens to customize each email.
  • Watch bounce rates -- high bounce rates (sending to invalid addresses) hurt your sender reputation. Use Stormy's email verification before starting sequences.
Warning

Sending large volumes of identical or near-identical emails can trigger Google's spam detection, which may temporarily suspend your account's ability to send. Always use personalization and keep daily volumes reasonable.

Disconnecting Gmail

To disconnect Gmail:

  1. Go to Settings > Integrations > Gmail
  2. Click Disconnect
  3. Confirm the disconnection

Disconnecting immediately:

  • Stops all active email sequences
  • Prevents the AI from sending any new emails
  • Stops syncing new replies

Existing conversation history in Stormy is preserved -- you do not lose past email data.

Troubleshooting

"Reconnect required" warning

Gmail OAuth tokens expire periodically. If you see this warning, click Reconnect to re-authorize Stormy. Your sequences and inbox data are preserved.

Emails not appearing in AI Inbox

Check that the conversation was initiated by Stormy. Only threads started through Stormy's outreach are tracked. Emails you send directly from Gmail are not synced.

Slow sync

Email sync is near real-time but can have brief delays during high-traffic periods. If a reply has not appeared after a few minutes, try refreshing the AI Inbox.
