Conversation Management

The AI Inbox is designed to feel like a modern email client — conversation threading, keyboard shortcuts, and fast filtering — but with AI doing the heavy lifting of organizing and prioritizing your creator conversations.

Conversation List

The main inbox view shows all your conversations sorted by most recent activity. Each conversation row displays:

  • Creator name and avatar — pulled from their profile
  • Subject or last message preview — a truncated snippet of the latest message
  • Status label — the AI-assigned intent label (e.g., Negotiating, Follow-up Due)
  • Timestamp — when the last message was sent or received
  • Unread indicator — bold text and a dot for conversations with new messages

Tip

Click any column header to sort by that field. Sorting by status groups related conversations together — useful when you want to batch-process all negotiations or review all pending approvals at once.

Conversation Threading

Every conversation is fully threaded. When you open a conversation, you see the complete message history in chronological order — your outreach, their replies, follow-ups, and any AI-sent messages. Each message shows:

  • Who sent it (you, the creator, or the AI agent)
  • Timestamp
  • Message body with formatting preserved
  • Any attachments

Messages sent by the AI agent are marked with a small indicator so you can always distinguish between messages you wrote manually and those the AI handled.

Status Labels

Status labels are the backbone of inbox organization. The AI assigns them automatically based on message content and conversation stage, but you can always override them manually.

Built-in Status Labels

Label Meaning
New Lead Creator responded for the first time
Interested Creator expressed interest in collaborating
Negotiating Active discussion about rates, deliverables, or terms
Agreed Deal terms are confirmed, pending contract or payment
Awaiting Content Deal is live, waiting for the creator to deliver
Content Delivered Creator submitted their content
Completed Campaign is done, no further action needed
Follow-up Due Conversation went quiet, needs a nudge
Needs Approval AI flagged something requiring your decision
Declined Creator declined or you passed on the deal
Note

Status labels are dynamic — the AI updates them as conversations progress. A conversation might move from "New Lead" to "Interested" to "Negotiating" to "Agreed" automatically as the discussion evolves. You can always correct a label if the AI got it wrong, and it will learn from your corrections.

Changing Status Manually

Click the status label on any conversation to see a dropdown of available statuses. Select a new one and the change applies immediately. You can also change status from within the conversation detail view.

Quick Filters

The top of the inbox has quick filter tabs for the most common views:

  • All — Every conversation
  • Unread — Conversations with new messages
  • Action Required — Conversations with open action items
  • Negotiating — Active negotiations
  • Awaiting Content — Deals waiting on creator delivery

Advanced Filters

Click the filter icon to access advanced filtering. You can combine multiple criteria:

  • Status — Filter by one or more status labels
  • Campaign — Show conversations from a specific campaign
  • List — Show conversations from a specific creator list
  • Date range — Messages within a time period
  • Has action items — Only conversations with open tasks
  • Creator platform — Filter by Instagram, TikTok, YouTube, etc.

The search bar supports full-text search across all conversations. Search by:

  • Creator name or handle
  • Message content
  • Subject line
  • Campaign name

Results highlight matching text and show context around the match.

Tip

Combine search with filters for precise results. For example, search for "rate" while filtering by "Negotiating" status to find all active rate discussions.

Bulk Actions

Select multiple conversations using the checkboxes on the left side of the conversation list. Once selected, a bulk action bar appears at the top with options to:

  • Change status — Apply a status label to all selected conversations
  • Archive — Move selected conversations out of the active inbox
  • Assign — Assign conversations to a team member (if using team workspaces)
  • Mark as read/unread — Toggle read status in bulk

Warning

Archiving conversations removes them from your active inbox view. You can always find archived conversations by switching to the "Archived" filter tab, but the AI will stop generating action items for archived threads.

Archiving

Archive conversations when they are complete or no longer relevant. Archived conversations:

  • Disappear from the default inbox view
  • Stop generating new action items
  • Are still searchable and accessible via the "Archived" filter
  • Will automatically unarchive if the creator sends a new message

How to Archive

  • Single conversation — Open the conversation and click the archive button in the top toolbar
  • Bulk archive — Select multiple conversations and use the bulk action bar
  • Auto-archive — Conversations with "Completed" or "Declined" status can be set to auto-archive after a configurable number of days

Conversation Detail View

When you open a conversation, the detail view has three main areas:

Message Thread (Center)

The full conversation history, newest messages at the bottom. Includes a reply composer at the bottom where you can write a message manually or use the AI draft.

Creator Profile (Right Sidebar)

A summary of the creator's profile pulled from your CRM data:

  • Name, handle, and avatar
  • Platform and follower count
  • Engagement rate
  • Past campaigns they've participated in
  • Deal history (rates, deliverables)
  • Notes you've added

Action Items (Below Thread or Sidebar)

Any open action items for this conversation appear inline, so you can see what needs attention without leaving the thread.
